Live Engraving Booking & Cancellation Policy

We understand that plans can change and unexpected circumstances happen. Because every Live Engraving Experience requires us to reserve dedicated event time, prepare equipment, plan personalization and, when applicable, purchase and prepare event-specific keepsakes, the following booking and cancellation policy applies to all Ember & Etch Studio Live Engraving Experiences.

Reserving Your Event

A 50% booking retainer is required to reserve your selected event date and time.

Your event is not considered booked or confirmed until the required retainer has been received.

Once your booking is confirmed, Ember & Etch Studio reserves that date and contracted time specifically for your event and may decline other booking opportunities for that period.

Non-Refundable Reservation Fee

Of your 50% booking retainer, $250 is non-refundable.

This $250 reservation fee compensates Ember & Etch Studio for reserving your selected event date and time and removing that availability from our booking calendar.

If your total 50% booking retainer is $250, the entire retainer is non-refundable.

If your retainer exceeds $250, the amount paid above the $250 reservation fee may be eligible for refund according to the cancellation terms below.

Event-Specific Purchases & Preparation

Keepsakes, merchandise, supplies and other materials purchased specifically for your event become non-refundable once ordered.

Custom design work, approved artwork, completed pre-engraving and other event-specific preparation that has already been completed is also non-refundable.

These costs may be deducted from any otherwise refundable portion of payments made.

Remaining Balance

The remaining balance is due 14 days before your scheduled event date.

Bookings made within 14 days of an event must be paid in full at the time of booking.

Ember & Etch Studio is not obligated to attend or perform at an event with an unpaid balance.

Client Cancellation

If you cancel more than 14 days before your event, Ember & Etch Studio will retain:

• The $250 non-refundable reservation fee
• The cost of any event-specific products or materials already ordered
• The value of completed custom design, pre-engraving or other event-specific preparation

Any remaining eligible balance will be refunded.

If you cancel 14 days or fewer before your scheduled event, all payments made are non-refundable.

Rescheduling

We understand that sometimes an event needs to move rather than be canceled.

When possible, Ember & Etch Studio will work with you to transfer your booking to another available date.

Rescheduling is subject to availability and is not guaranteed.

Payments already made may be transferred to the new event date. Any additional expenses resulting from the change of date, location, keepsake quantity or event requirements will be the client's responsibility.

Venue, Weather & Outdoor Events

The client is responsible for ensuring that the venue permits the use of Ember & Etch Studio's live laser engraving equipment and provides an appropriate location for safe operation.

For outdoor events, a safe, dry and weather-protected operating area with access to appropriate electrical power must be provided.

Rain, excessive wind, extreme weather or other conditions that could damage equipment or make operation unsafe may prevent us from operating outdoors.

If suitable indoor or protected accommodations cannot be provided, the event may be treated as a client cancellation or rescheduling request under this policy.

Safety of our guests, team and equipment will always take priority.

Changes to Event Details

Final guest count, keepsake selection, personalization requirements and other event-specific details must be confirmed before the production deadline provided by Ember & Etch Studio.

Additional guests, products, personalization or event time requested after final confirmation are subject to availability and additional charges.

If Ember & Etch Studio Must Cancel

If Ember & Etch Studio is unable to perform your event due to circumstances on our end and we cannot provide an acceptable alternative arrangement, all payments for services and products not provided will be refunded.

What Your Booking Retainer Covers

Your booking retainer reserves Ember & Etch Studio's date, time, team and live engraving equipment for your event.

The booking retainer does not mean that keepsakes, merchandise, travel, additional engraving options, additional event hours or other add-ons are included in the base Live Engraving Experience price.

All selected products, upgrades, travel charges and additional services will be clearly listed as part of your individual event quote or booking agreement.

Agreement to These Terms

Payment of the booking retainer confirms your reservation and acknowledges acceptance of Ember & Etch Studio's Live Engraving Booking & Cancellation Policy.

For bookings made in person, these terms will also be included with your Live Engraving Event Booking Agreement for review and signature.
